There are two ways in which you can customised your invoice in Xero:

• Standard Approach - you kept the layout of the standard invoice that Xero provides but change things up like different text, font sizes and logo.
• Branding Invoice - this is where you can customise the layout of your invoice e.g. positioning etc… however, there are still some restrictions to this.

Here’s how to set up a customised invoice with standard branding:

1. Go to Settings > General Settings > Invoice Settings, click “New Branding Theme” button and select “Standard Theme”
2. Put in a name for customised invoice style: e.g. Modern
3. Fill out the details e.g. Choose the size, measurement units, invoice border size, font type and size and you can also change the names e.g. “Remittance advice” can be changed to “We received your payment”.
4. Save all the details by clicking “Save”.

Here’s how to set up a fancier invoice where you can change your background color and positioning etc…

1. Go to Settings > General Settings > Invoice Settings > Click “New Branding Theme” button and choose “Custom .docx Theme” option.
2. Create a name for the new theme e.g. “Personalised theme” and click “OK”
3. Scroll to the bottom of Invoice Settings and find your newly created theme.
4. Click “Download” and it will download a folder with a whole bunch of .DOCX files. You can modify them all if you like.
5. We’ll just open the document called “Invoice” for now and edit it the way you like. You can customise it the way you like. There are however some restrictions, for example, I changed the text of an invoice to Century Gothic, and it appeared that Xero didn’t read that so it printed the standard font.
6. Save the document on your computer and then go to Xero.
7. In Xero, go to Settings > General Settings > Invoice Settings and scroll to the bottom where you new branding theme is. Click “Upload” and then upload your invoice. Now it’s ready to be used when you create invoices.
